Receptionist & Program Associate (Karen Speaking) Part-Time Temp

Salary: $21.00 – $25.00 per hour, depending on experience 

Status: Part-time Temporary, 20 hours/week

Position Description

The Receptionist serves as the first point of contact for community members and refugee families seeking services at the Karen Organization of Minnesota (KOM). This position welcomes walk-in clients, answers phone calls, and helps connect individuals with appropriate programs and staff. The Receptionist supports staff with administrative tasks including client check-in, appointment reminders, follow-up phone calls, and basic data entry. This position plays an important role in ensuring that community members feel welcomed and can easily access KOM services. 

This position is being offered on a temporary basis (approx. 2-3 months) while our organization evaluates how to structure our front desk and administrative support functions. The selected candidate may have the opportunity to transition into a permanent role that will include reception responsibilities along with additional duties as the position evolves. 

Work Schedule 

This position will work: 8:30AM – 5:00PM Monday and Thursday plus four additional hours chosen between Tuesday, Wednesday, or Friday between 8:30AM-5:00PM. 

Note: Tuesday mornings (8:30 AM – 12:00 PM) are not available as a shift option. Some flexibility may be required depending on program needs. 

Key Responsibilities

Client and Guest Services 
  • Welcome and assist everyone who comes through KOM’s doors. Includes collecting intake information and entry into Apricot database for every client. 
  • Answer incoming phone calls and direct them to appropriate staff. Requires ability to use multi-line business desk phone. 
  • Identify client needs and provide referrals to KOM programs or community resources 
  • Manage client flow on walk-in days, tracking order to be served and assigning staff as they become available.  
  • Respond to all voicemail and email inquiries in a timely manner 
  • Assist staff with appointment reminder calls and follow-up calls to clients 
  • Help clients complete registration or intake forms when needed 
Office Operations Support 
  • Administrative support including mail merges, envelope stuffing, maintaining office supply inventory, etc. 
  • Distribute incoming mail and packages 
  • Maintain a clean and welcoming reception and lobby area 
  • Assist with data entry and administrative support as needed 
  • Support organizational outreach events and activities when needed 

Qualifications 

Minimum Qualifications 
  • U.S High School Diploma required 
  • Native or fluent proficiency in Sgaw Karen. Pwo Karen and Karenni ability a plus. 
  • Strong English communication skills 
  • Experience in customer service, reception, or community services preferred 
  • Strong phone communication skills 
  • Basic computer skills (Microsoft Word, Outlook, data entry) 
Required Skills and Knowledge 

The ideal candidate for this position will have an interest in community service and supporting refugees from Burma and other immigrants living in Minnesota.  

  • Ability to speak, read, and write fluently in English and S’gaw Karen. Ability to speak one or more of the following languages is a plus: Pwo Karen, Karenni, Burmese, or Thai. 
  • Ability to type in Karen is also a plus. 
  • Strong organizational and prioritization skills 
  • Ability to work with individuals from diverse cultural backgrounds 
  • Friendly and approachable with ability to remain calm and professional in all situations 
  • Ability to work remotely if needed (access to the internet, very responsive via email and phone, willing to learn Microsoft Office 365 and other computer programs) and in-person at KOM’s office in Roseville. KOM will provide a laptop.  
  • Ability to work independently and take initiative
